⚙️ THE WORKFLOW
Most solo operators discover something went wrong when a client emails them about it. A payment failed three days ago. A form stopped submitting. A server's been down since Tuesday. By then the damage is done.
The better model: your stack tells you about problems before your clients do. This workflow is a central alert router — it listens for events across your entire operation, decides which ones need immediate attention, and posts to the right Slack channel with enough context to act without further investigation.
I've been running a version of this for eight months. In that time it's caught two failed payment sequences, one server outage I caused myself, and one lead form that silently broke when I updated the Tally embed. Each one I fixed before the client noticed.
The node chain:

Step by step:
1. Unified webhook endpoint
One n8n webhook URL receives everything. Each source passes a source field in the payload: stripe, tally, beehiiv, server. This is cleaner than managing five separate webhook URLs.
2. Switch routing
Route on source + event_type. The branches you actually need: payment failed, form submitted (for volume monitoring), newsletter send completed, server CPU > 80%, server disk > 85%.
3. AI urgency classification
System prompt: "You are an operations monitor for a solo developer. Classify this business event as urgency 1 (informational — log it), 2 (needs action within 4 hours), or 3 (immediate — act now). Consider: revenue impact, client visibility, reversibility. Respond with a JSON object: {"urgency": 2, "reason": "Payment failed for active client"}."
This single node replaces a dozen nested If conditions.
4. Alert formatting
Every Slack message follows the same format: [SOURCE] [URGENCY EMOJI] Event description\n→ Context: key detail\n→ Action: what to do next. The action line is populated by the AI classifier. It's not always right, but it's right 80% of the time.
5. Daily digest
All urgency-1 events accumulate in a Baserow staging table. At 18:00 daily, a separate cron workflow aggregates them and posts a single Slack message to #ops. This keeps the main alert channel clean.
VPS monitoring note: Add a simple healthcheck script to your server that POSTs to the n8n webhook every 5 minutes. If n8n doesn't receive a ping for 10 minutes, a separate Monitor workflow fires an alert. Crude but effective.
Time saved: approximately zero. Time of problems discovered earlier: significant.
🔧 THE STACK MOVE
Slack — the only comms tool worth integrating with
Every business chat tool has an n8n node. Slack is the only one where the node actually works reliably, the API is stable, and the channel/DM distinction makes alert routing intuitive.
Price: Free for most solo operators. The free plan retains 90 days of message history — enough for any operational use case. The paid plan ($7.25/user/month) is worth it only if you're managing a team or need integrations with external tools that require Slack's Enterprise features.
The honest tradeoff: Slack notification fatigue is real and self-inflicted. I've seen operators build elaborate alert systems that ping them 40 times a day until they mute the channel entirely, defeating the purpose. The AI urgency classifier in this workflow exists specifically to prevent that — but the discipline of only routing genuinely actionable events to #alerts is something you have to enforce yourself. Start conservative: if you're not sure whether something should alert, it shouldn't. Add it after you've manually noticed it being a problem.
The other limitation: Slack's free plan API rate limits are occasionally an issue if you're sending bursts of alerts. Add a 1-second Wait node between messages if you're processing batch events.

The slow degradation of Slack's API — rate limits tightening, webhook behaviour changing, bot token scopes narrowing — is a real concern for anyone building on it. Not a reason to stop, but a reason to keep your Slack integration thin and replaceable. Don't build business logic inside Slack itself.
